How unscheduled pay runs work
Unscheduled pay runs are separate from your regular pay cycle and will not affect upcoming scheduled runs. An unscheduled pay run WILL NOT advance your pay calendar.
Why may you need to use this function?
Doing an unscheduled pay run gives you the flexibility to pay employees as required without having to wait for your regular scheduled pay run.
Examples for use of this:
Paying out a final entitlement when an employee leaves the business
Processing a bonus or one-off payment outside the normal cycle
Correcting a missed or incorrect payment from a previous pay run
Paying casual employees who worked outside of a scheduled period
How to create an unscheduled pay run
Please ensure the relevant timesheets are approved prior to completing the steps below.
Go to Timesheets and select Export Timesheets
Select your export target (meaning which Xero organisation you would like to export) and select Unscheduled Pay Run
Select the relevant pay calendar, period dates and payment date
Select Preview Timesheets
Select the checkbox for the relevant timesheets you wish to include in the unscheduled pay run
Select Export Pay Run and confirm the export
You have now successfully completed an unscheduled pay run and can view what was sent to payroll.
