Understanding shift visibility for employees

Control what your employees can see so they know when and where they are working. Once shifts are published, employees can view their roster.

What and when employees can see shifts

Employees can view their own shift times, location and areas which they are allocated.
Depending on your settings, they may also be able to view who else is working and any shifts available they can claim or shift swaps.

Employees can only see shifts after they are published. If a shift is created but not published, it will not be visible to them.


In Urhere, the shift statuses give you the flexibility to individually publish shifts or collectively publish shifts to employees.

  • Draft Status

    • Only managers & admin can see this shift

  • Publish

    • The employee will be asked if they confirm working this shift or they can reject it.

  • Confirmed

    • The employee will not be able to confirm or reject the shift. If you're coming from other systems, this is the same as "Publish" in those systems.

  • Checked-in

    • The shift is in the clocked-in status. This useful if an employee forgot to clock in.

  • Completed

    • The shift has been finished and a timesheet will be created. This can be set manually if the employee forgets to clock out.
