Urhere includes document management tools to help you create, send, request, sign and store employee documents in one place.
You can upload documents you already use, such as employment contracts or workplace policies, or create custom documents directly in Urhere. Documents can be sent to employees during onboarding or at any time during their employment.
This helps reduce manual paperwork and keeps important employee documents easy to access and manage.
Setting up documents
You can either upload an existing document or create a new document in Urhere.
Open the Employee page.
Select Documents from the sidebar.
Select + Add Document.
Choose whether you want to Attach a Document or Create a Document.
Enter or select the document details.
Select the document collection type.
Choose whether the document should be added to your template list for future use.
Creating a custom document / digital signature document
Use this option when you want to create a document in Urhere that can be sent to an employee for review or signing.
For a custom document, enter:
Document name
Description
Collection type
Whether the document should be saved as a template for future use
For example, you may create a custom employment contract, workplace policy, or policy update that needs to be reviewed or signed by the employee.

Attaching an existing document
Use this option when you already have a document you want to upload into Urhere.
For an attached document, enter:
Document type
Description
Collection type
Whether the document should be saved as a template for future use
For example, you may upload an existing employment contract, handbook, policy document, or licence request form.
Choosing the right document collection
When setting up a document, choose the collection type that best matches how the document will be used.
Request from employee
Use this when you need the employee to provide a document.
Examples include:
RSA certificate
Forklift licence
Visa documentation
Qualification certificate
Supply to employee
Use this when you need to provide a document to the employee.
Examples include:
Employment contract
Workplace policy
Employee handbook
Position description
Supply and request
Use this when you need to provide a document to the employee and also request a document back from them.
For example, you may send an employment contract and also request supporting documents from the employee.
Custom document
Use this when you want to create a document in Urhere and send it to the employee for review or signing.
Examples include:
Employment contract
Policy change
Agreement update
Acknowledgement form
How to send documents
Sending documents to your employees
Open the Employee page
Select an employee
Select Documents
Select Send Document
Select the document you want to send the employee and if required enter any details
Select Send to proceed
The employee will now be sent an email notifying them you sent a document.
How to bulk send documents to your employees

Open the Employee page
Select Bulk Send
Select the document you want to send and enter any details required.
Select the employees
How to request documents
Request documents from your employees
Open the Employee page
Select an employee
Select Request Information
Select Request Document
Select a document type and enter any custom document details required
The employee will now be sent an email notifying them you have requested a document.
Please note - Any documents that require signing from the employee, the employee will receive a copy of via email. You can view and manage the documents from the employee's work profile at any time.
