What is this screen?
When you export timesheets to Xero, Urhere checks that every pay rule in your employees' pay templates has a matching earnings rate in your Xero organisation. If Xero is missing one or more rates, this confirmation screen appears before the export continues.
Note: If you're a customer who uses matched rates, this warning means you have an unmatched rate for the employee(s) listed. Simply update their salary details and continue or update your pay template centrally if you're using one.
Note: If you're using the Urhere Rate Library, this is a required step.
What are earnings rates?
Earnings rates are Xero's way of categorising how hours are paid. Xero needs a separate earnings rate for each type of pay — for example, ordinary time, Saturday penalty rates, Sunday penalty rates, public holiday rates, and so on.
When you assign an employee a pay template in Urhere (such as an award-based template), Urhere knows which rate types they can attract. Those rates need to exist in Xero before the timesheets can be sent.
What does the screen show?
The list of new rates shows every earnings rate that is about to be created. Each card shows:
The name that will appear in Xero — Urhere-created rates are always prefixed with [urh] so they are easy to identify.
The pay rule the rate corresponds to (e.g. Saturday Rate, Sunday Rate).
The employee(s) whose timesheets triggered the need for this rate.
Some rates may be tagged Allowance — these are flat-amount pay items (such as a tool allowance or laundry allowance) rather than hourly multipliers.
Wages Expense Account is the account in your Xero chart of accounts that the new earnings rates will be linked to. This is typically your wages or salaries expense account (e.g. 477 – Wages Expense). You must select one before you can proceed.
What should I do?
Review the list of rates being created and confirm they look correct for the employees shown.
Select the appropriate Wages Expense Account from the dropdown. If you are unsure which account to use, check with your accountant — it is usually the same account your existing wages are coded to in Xero.
Click Proceed & Create Rates. Urhere will create the rates in Xero and then continue the export automatically.
If you are not ready, click Cancel — nothing will be created and the export will not proceed.
Will this happen every time?
No. Once an earnings rate has been created in Xero, Urhere recognises it and will not prompt you again for that rate. You will only see this screen when a genuinely new rate type is needed — typically when:
An employee is assigned a new pay template for the first time.
A pay template includes a rule type (e.g. a new allowance) that has never been exported before.
Can I review the rates that were created?
Yes. In Xero, go to Payroll → Payroll Settings → Pay Items (AU) or Payroll → Pay Items (NZ). Urhere-created rates are listed with the [urhere] prefix, making them easy to find. Do not rename or delete them — Urhere uses the rate ID internally and losing the link will cause export errors.

Something looks wrong
If a rate name looks unfamiliar or an employee is listed unexpectedly, click Cancel and review the employee's pay template in Urhere before retrying. If you are unsure, contact Urhere support before proceeding.
