Timesheet process: approval to export

Timesheets in Urhere move through a clear process before they are exported to payroll. This gives managers the chance to review worked shifts, fix any issues, approve timesheets, and confirm everything is ready before wages are sent to your payroll system.

A timesheet can only appear once a shift has been completed (or clocked-in).

Timesheet statuses

In Review
The timesheet has been created but has not been approved yet. This is the default status after a shift has been worked.

Incomplete
The timesheet needs attention before it can be approved or exported. This may happen if there is a missing clock-out, a discrepancy, or a manager note that needs review.

Approved
The timesheet has been reviewed and confirmed by a manager. It is ready for payroll export.

Exported
The timesheet has been sent to your payroll system. Exported timesheets are locked by default. To make changes, the timesheet must be unlocked, updated, approved again, and re-exported.

How the timesheet process works


The shift is worked

Once an employee completes a shift, a timesheet is created automatically.

This happens when the employee clocks out, or when the scheduled end time has passed. The timesheet will appear in In Review status.


Review timesheets

Go to Timesheets > Approve Timesheets to review pending timesheets.

From the inbox, you can:

  • Compare clock-in and clock-out times against rostered times

  • Edit times or wage calculations if needed

  • Use Set As Scheduled to match the timesheet to the rostered shift

  • Leave an approval note for your records

If a shift is still clocked in, it will be flagged. We recommend checking and resolving this before using bulk approval.

Approve timesheets

Once a timesheet has been checked, select Approve Timesheet.

You can approve timesheets individually or use Bulk Approve to approve all timesheets for a selected period.

Approved timesheets move to Approved status.

Approval can be undone any time before export by selecting Undo Approval.

Check payroll readiness (Optional)

Before exporting, check the Payroll Readiness report.

Go to Reports > Exports > Payroll Readiness.

Use this report to confirm all timesheets for the pay period have been approved and there are no outstanding issues.

Export to payroll

Go to Timesheets > Export Timesheets.

Run the export for your connected payroll system, such as Xero or MYOB.

Once exported, timesheets move to Exported status and are locked.

Make corrections after export

If a timesheet needs to be changed after it has already been exported:

  1. Unlock the timesheet.

  2. Make the required edits.

  3. Approve the timesheet again.

  4. Re-export the timesheet.

Changes made after export will not update previous export runs.

Use the Export Audit report to review past exports.

Important notes

Timesheets for No Show shifts, or shifts with no clock activity, may still appear for review. Check these before exporting.

Managers need Can Approve and Can Export permissions for their location to approve and export timesheets.
